Administrative Assistant Job Description:
Administrative Assistant job and tasks take in providing
administrative support to ensure efficient process of the office. Supports
managers and workers from side to side a range of tasks connected to association
and communication. Accountable for not to be disclosed and time responsive
material. Well-known with a range of the field's concepts, practices and
procedures. skill to well converse via
phone and email ensuring that all Administrative Assistant duties are fulfilled
correctly and delivered with high quality and in a timely manner. May direct
and lead the work of others. Rely on experience and judgment to plan and achieve
goals and a wide degree of creativity and latitude is expected. usually reports
to a manager or head of a unit/section.
Responsibilities:
- Respond and direct phone calls
- Arrange and schedule meetings and appointments
- Keep contact lists
- Make and share out correspondence memos, letters, faxes and forms
- Help in the training of frequently scheduled reports
- Increase and keep a filing system
- Order office supplies
- Book travel preparations
- Submit and settle expense reports
- Supply general support to visitors
- Supply information by respond questions and requests
- Take dictation
- Research and creates presentations
- Generate reports
- Handle multiple projects
- Arrange and monitor invoices
- Enlarge administrative staff by given that information, educational chances and experiential growth occasions
- Make sure operation of tools by completing preventive repairs requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

Requirements:
- Proven admin or supporter experience
- Understanding of office management systems and actions
- Outstanding time management talent and ability to multi-task and prioritize work
- Awareness to detail and trouble solving skills
- Outstanding written and verbal communication skills
- Strong managerial and planning skills
- Talented in MS Office
- At least 2 years of knowledge in the field or in a related area
- High school diploma or equivalent; college degree preferred
