Job brief;
We are looking for a competent Executive Secretary to support GM in our company. He/She will be the one to organize and maintain the GM schedule and assist them by performing a variety of administrative tasks.

Responsibilities:
  1. Maintain GM agenda and assist in planning appointments, board meetings, conferences etc. Maintain GM calendar.
  2. Attend meetings and keep minutes and relevant reminders after the meetings.
  3. Receive and screen phone calls and redirect them when appropriate
  4. Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.
  5. Setup GMs travel arrangements. Visa, Tickets, Hotel bookings and every other requirement before, during and after his travel.
  6. Handle confidential documents ensuring they remain secure.
  7. Prepare invoices or financial statements and provide assistance to GM for all expenses incurred.
  8. Maintain electronic copy and hard copy of all the relevant information ensuring data is organized and easily accessible.
  9. Conduct research and prepare presentations or reports as assigned
  10. Meet and greet clients and visitors .Setup accommodation and arrangements for company visitors.
  11. Create, transcribe, and distribute meeting agendas and minutes.
  12. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  13. Maintain Data base of all the contacts, topics of correspondence and companies visited
  14. Maintain a regular mailing list for all the major festivals
  15. Organize his mails, files and folders on his computer
  16. Supervise support staff and collect records on a regular basis
  17. Other duties as assigned.

Requirements:
  1. 5-7 years of exp
  2. A masters degree in Law/Finance/Management preferred
  3. Experienced in multitasking roles, data management and coordination
  4. Proven experience as executive secretary or similar administrative role
  5. Proficient in MS Office and
  6. In depth knowledge of office management
  7. Familiarity with basic research methods and reporting techniques
  8. Excellent organizational / time-management skills and decision making skills
  9. Outstanding communication and negotiation abilities
  10. Decision Making Ability , Integrity and confidentiality
  11. Engineering background or person working with engineering company preferred.

Salary – AED 5000 – 6000 and other benefits as per UAE Labor Law.
Location – Abu Dhabi
Timing – 8:30 am – 6:00 pm from Saturday through Sunday with 2nd and 4th Saturdays off.
