Job brief:
We are looking for a FEMALE Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks.

Responsibilities:
  1. Receiving visitors at the front desk by greeting, welcoming them appropriately
  2. Direct visitors to the appropriate person and office
  3. Answering screening and forwarding incoming phone calls
  4. Provide basic and accurate information in-person and via phone/email
  5. Receiving and sorting daily mail
  6. Deal with queries from the public and customers
  7. Ensure knowledge of staff movements in and out of organization
  8. Monitor visitor access and maintain security awareness
  9. Provide general administrative and clerical support
  10. Prepare correspondence and documents
  11. Update calendars and schedule meetings
  12. Maintain appointment diary either manually or electronically
  13. Monitor and maintain office equipment
  14. Order front office supplies and keep inventory of stock
  15. Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  16. Arrange travel and accommodations, and prepare vouchers
  17. Keep updated records of office expenses and costs
  18. Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Requirements:
  1. Proven work experience as a Receptionist, Front Office Representative or similar role
  2. Proficiency in Microsoft Office Suite
  3. Hands-on experience with office equipment (e.g. fax machines and printers)
  4. Professional attitude and appearance
  5. Solid written and verbal communication skills
  6. Ability to be resourceful and proactive when issues arise
  7. Excellent organizational and planning skills
  8. Multitasking and time-management skills, with the ability to prioritize tasks
  9. Customer service attitude
  10. Information management
  11. Attention to detail
  12. Initiative
  13. Reliability
  14. Stress tolerance 
  15. Graduation; additional certification in Office Management is a plus
